Role Purpose
Performing routine Executive Secretarial assignments and clerical and Administrative tasks as per requirements.
Job Description
- Assisting Director in daily office work such as correspondences, scheduling meetings, and typing letters.
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Arrange conferences, meetings, and travel reservations for director.
- Complete forms in accordance with department procedures.
- Compose, type, and distribute meeting notes, routine correspondence, and reports.
- Locate and attach appropriate files to incoming correspondence requiring replies.
- Set up and maintain paper and electronic filing systems for records, correspondence, and other material.
- Conduct searches to find needed information, using such sources as the Internet.
- Coordinate conferences and meetings.
- Establish work procedures and schedules, and keep track of the daily work of director.
- Operate electronic mail systems and coordinate the flow of information both internally and with other organizations.
- Preparing agendas or programs for meetings
- Attending and taking minutes of meetings, both in the office and at other locations.
- Receiving, registering, and distributing in-coming and out-going mail.
- Perform all assigned tasks by supervisors, according to the requirements of section.
