The Events Specialist is responsible for the creative conceptualization, development of event proposals and pitching to clients, through to budgeting, operational end-to-end planning and delivery of events within the venue or outside the venue in Abu Dhabi.
In addition to creatively conceptualizing, planning and executing events, the Event Specialist will take on a key role in planning for the circuit’s flagship event, the Annual Formula 1 Etihad Airways Abu Dhabi Grand Prix.
Event Management:
- Work with the Events Delivery Director to plan for specific events, ensuring that budget, time, and delivery requirements are captured.
- For larger and more complex events, develop event delivery operational plans considering the various elements that supports the organization to achieve excellence in the event industry.
- Develop work breakdown structures, cost tracking, procurement, and project plans. Ensure all documentation is succinct and accurate.
- Develop plans for delivery of allocated events in alignment with the Events Delivery Director, and provide ongoing reporting throughout the planning process, identifying and managing key risks to ensure effective event delivery.
- Be client-focused, ensuring the event requirements are delivered to a high standard, in accordance with departmental SOPs.
- Manage all internal and external event stakeholders required to deliver the event.
- Oversee and direct on-ground coordination during events, ensuring event delivery is smooth, whilst providing ongoing feedback as required to the Events Delivery Director.
- Coordinate with cross departmental resources to ensure all event requirements are executed to a high standard, within budget and in accordance with expectations.
- Ensure all events or services are delivered within the agreed timelines and to the expected service levels.
- Work with the Events Delivery Director and relevant Business Unit to resolve any issues while preparing for an event and implement contingency measures to mitigate risks.
- Coordinate with the Operations team ensuring the venue is prepared as per the event requirements.
- Work with internal departments to oversee the setup and de-rigging of event sites.
- Work with the HSE and Security teams ensuring event requirements are managed and adhered to as per all government and local authorities’ guidance.
