Role Purpose: The main duties of this role include scheduling meetings, making travel arrangements and organizing daily calendars. To be successful in this role, one should be proactive, meet deadlines and communicate effectively. The job also requires someone who is familiar with office management technologies and is able to identify and address the needs of Managing Director/Deputy CEO and perform administrative tasks to ensure that the office workflow runs smoothly.
Key responsibilities
• Assist in the planning and preparation of meetings, conferences and conference
telephone calls
• Coordinate daily calendars Deputy of CEO/Managing Director
• Take minutes of the meetings when required
• Plan appointments and events
• Act as the point of contact between executives and employees/clients
• Create regular reports and update internal databases
• Make travel arrangements
• Manage phone calls and emails
• Respond promptly to managers’ queries
• Facilitate internal communication (e.g. distribute information and schedule presentations)
• Suggest more efficient ways to run the office and troubleshoot malfunctions
