Admin Officer - Female (Native Arabic Speaker/East European)

Location: Abu Dhabi

Salary: AED. 10000

 

Purpose of the position

•                Manages, coordinates and administers a variety of programs and activities covering Front office management and multiple admin activities.

•                Assist in administering the Government Relations Manager (GRM) in typical international employee visa management tasks.

•                Execution of tasks independently under the close guidance of supervisor within the department.

 

Key responsibilities

  • Operate telephone switchboard to answer, screen and forward calls, providing information and taking messages.
  • Greet persons entering company, determine nature and purpose of visit, direct them to specific destinations and maintain visitor records.
  • Sort, distribute and prepare mail, messages, and courier deliveries.
  • Performs various administrative and secretarial tasks including but not limited to the composition of letter correspondence, safekeeping of confidential files, ticketing, hotel bookings and other tasks that maybe assigned from time to time.
  • Handle Time Management System and responsible of uploading and downloads of files.
  • Maintaining CATS (Cross Application Time Sheet) and preparing attendance reports/time sheets of all the employees.
  • Assist the line manager in training process including but not limited to preparing training forms, POR online submission, follow up with employees/departments for training records for filing as per the IMS requirement and other training arrangements.
  • Assist the line manager in the recruitment process, employee orientation and on-boarding process.
  • Assist the GRM in all the Government related (GR) related matters and other legalization documents for the projects and company in general, and employees work-related documents.
  • Handling office renewals, updating, processing and filing of all the GR related documents.
  • Works in close collaboration with the project teams for visas, security passes and other supports needed by the projects.
  • Manage Petty cash and ensure timely submission for payment in order to ensure smooth functioning of departmental activities.
  • Monitor inventory, office stock and ordering supplies as necessary.
  • Any ad hoc professional tasks assigned by the line manager.
