The ideal candidate should possess previous operations and reception experience with strong
impersonality skills while having the ability to proactively identify and solve any operational issues in a timely manner. The
ideal candidate must present extremely well, engage professionally at all times with our clients and be respected by their
small team of subordinates.
Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer all calls within3 rings, screen and forward incoming phone calls
- Ensure reception area and all meeting rooms are tidy and presentable, with all necessary stationery and material
(e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Order front office supplies and keep inventory of stock
- Book and manage Meeting/Boardroom bookings
- Follow up of leads; opportunities for all meeting room bookings
- Upsell other services such as chauffer services, answering services and other OBC services
Increase revenue month on month and year on year for all meeting room booking and other services OBC offers to
clients
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- High attention to Walk-in enquiries/calls and direct promptly to the Sales Manager or Director
- organizing sales tours and ensuring floor is presentable at all times
- demonstrating and presenting the business center
- Keep CRM and client files up to date with correct sales notice details & Service Agreements uploaded.
- Keep floor map up to date online on office R and D
- Follow up of leads; opportunities keeping CRM up to date.
- Check all supplier invoices accurately before sending over to accounts or respective managers
- Set up new clients’ offices and initiate the welcome emails.
- Coordinate with building management to address maintenance concerns, handle AC issues, process access card
applications, and manage work permit requirements.
Requirements:
- Proven work experience as a Receptionist, operation assistance and sales or similar.
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance.
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree; additional certification in Office Management is a plus.
- At least 2 - 3 years of relevant work experience
- Excellent phone etiquette and excellent verbal, written, and interpersonal skills
- Ability to multi-task, organize, and prioritize work
- Time management skills – work to deadlines
